What meetings do I need to attend as a captain?

Just one called the Management Meeting. Two representatives from each club must attend and sign the register. Any club missing a meeting will be fined £25, any club which misses three meetings will be automatically disaffiliated from the AU.

How do I fill out my travel estimate form?
Although the travel estimate forms look quite confusing and people have problems with them each year they really aren’t. The easiest way to figure out what to do is to look at the previous years form. If there are any additional trips then make sure you add them. It is vital you get your travel estimate forms in asap in the first term. They determine what transport you will have throughout the year.

We are having problems in our club, what do we do?
Go and see the President or General Manager straight away, nine times out of ten they will be able to sort any problems you may have out.

Can anyone join our club?
No, to join clubs your members must be a student at the University and must have an AU card with them before you can sign them up. Students from other Universities are not permitted to join Swansea University clubs. Their AU card protects them and others with regards to their insurance. You must NOT sign any one up to your club without and AU card.

How do I go about booking training sessions?
This should be done in the last term of the year for the following year. At the AU office are the facility request forms. Fill them in and hand them back to the President. It is vital you do this before the end of the summer term as it maybe to late in September.

How do I book a minibus/coach?
You have to book minibuses and coaches in the AU office. The forms are located in the little draws on top of the filing cabinets. Fill out the forms as requested and leave in the transport reps in box on their desk. Your forms will be ready and pinned up outside on the notice boards about two days before you are due to leave. Remember to pick up your travel forms!

I really want to make a new AU club, how do I go about doing this?
Firstly go and chat to the President about the club. It maybe for some reason that your club could be better suited to being in the SU and not the AU. When speaking to the President it is always a good idea to have at least fifteen names, student numbers and phone numbers of people who wish to join the club.

You need to then draw up a constitution and a safety policy. Your constitution basically says how your club will run, who’s in charge (such as captains, chairpersons, secretaries and treasurer), when you will have meetings and any other information you deem necessary. Every clubs constitution is slightly different but it is worth asking the President for other clubs constitution for examples while you are drawing yours up. Your safety policy is another important document you must get right. Each club has a safety policy which outlines how you and your members are going to practice your chosen sport safely. You can find your National Governing Bodies safety policy on the internet. Your safety policy should run along the same lines as your NGB. After you have collated all this information and it has been passed by the director of sport you club achieves Probationary Club status in the AU.

The probation period lasts for one year, you are part of the AU however you are entitled to no help with finances or transportation. This is your time to prove that you can run the club without our help. You will be expected to attend all management meetings but only as a spectator and have no right to vote.

Following your Probationary year you can ask the permission of the Management Committee to become a full member of the AU. Should you request be successful your club becomes a full member of the Athletic Union.
